.. _cloud-up-customers: ~~~~~~~~~ Customers ~~~~~~~~~ The **Customers** page is where you keep track of the companies you serve and the people you work with at each one. Companies and their contacts can be linked to the license servers you provision, so you always know who a given server belongs to. Viewing the Customers page requires **View**; adding, editing, and deleting companies and contacts requires **Manage**. .. note:: This area is labelled **Customers** in the portal. Each customer record is a *company*, and a company can have one or more *contacts*. ------ .. _cloud-up-customers-list: ################## The Customers List ################## The Customers page presents two tabs (requires **View**): * **Companies** – every company you have added. * **Contacts** – every contact, across all companies. .. TODO: screenshot The **Companies** tab lists each company with these columns: * **Name** – links to the company's detail page. * **Location** – the company's city and state. * **Country** * **Created** – the date the company was added. Use the **Search** box to filter companies by name, and the **Sort By** control to order the list by **Name** or **Created**. The **Contacts** tab lists each contact with these columns: * **Name** * **Type** – the contact type (see :ref:`cloud-up-contacts`). * **Email** * **Company** – the company the contact belongs to. A **Search** box on the Contacts tab filters by contact name, email, or company name. Both tabs offer **Add Company** and **Add Contact** buttons (both require **Manage**). ------ .. _cloud-up-add-company: ####################### Adding a Company ####################### Click **Add Company** (requires **Manage**) to open the **Company Info** form. .. TODO: screenshot Fill in the form: * **Company Name** (required) – the only required field. * **Add Address** – click this to reveal the optional address fields: **Address Line 1**, **Address Line 2**, **Address Line 3**, **Country**, **State**, **City**, **Zip/Postal Code**, and **Notes**. Click **Save** to create the company, or **Cancel** to return to the Customers list. After the company is created, the portal returns you to the Customers list and offers a shortcut to add a contact to the new company. .. _cloud-up-edit-company: Editing a Company ***************** To change a company's details, open the company and click the **Edit company** action (requires **Manage**). The edit form shows the same fields as the add form, pre-filled with the company's current values. Click **Save** to apply your changes. ------ .. _cloud-up-company-detail: ################### Company Detail Page ################### Clicking a company name on the Companies tab opens its detail page (requires **View**). The page is organized into three areas: .. TODO: screenshot * **Company Info** – a read-only card showing the company's name, address, city/state/zip, country, and notes. Fields that are empty are hidden. **Manage** users see **Edit company** and **Delete company** actions on this card. * **Contacts** – a table of the company's contacts showing **Name**, **Type**, **Email**, and **Phone**. **Manage** users can add, edit, and delete contacts from here. * **License Servers** – the license servers assigned to this company, each with per-row actions (requires **Manage**). .. _cloud-up-assign-server: Assigning a Server ****************** In the **License Servers** section, click **Assign Server** (requires **Manage**) to link an available license server to this company. The dialog lists only servers that are not already assigned to another company. Every contact belongs to exactly one company. Adding, editing, and deleting contacts requires **Manage**. .. TODO: screenshot A contact has the following fields: * **Contact Person** (required) * **Contact Type** – one of **Admin**, **Billing**, **Exec**, **Marketing**, **Sales**, or **Technical**, or none. * **Title** * **Phone** * **Fax** * **Email** (required) * **Other Info** * **Company** (required) – the company this contact belongs to. You can add a contact in two ways: * From the Customers page, click **Add Contact** and choose a company on the form. * From a company's detail page (or from the shortcut shown right after you create a company), click **Add Contact** to add a contact already linked to that company. To edit or delete a contact, use the actions on the **Contacts** tab or on the company detail page. Deleting a contact asks you to confirm before the contact is permanently removed. ------ .. _cloud-up-delete-company: ################## Deleting a Company ################## To delete a company, click the **Delete company** action on the Companies tab or on the company detail page (requires **Manage**). If the company has associated contacts or license servers, the dialog shows how many of each and lets you choose, with checkboxes, whether to **also delete** them. Associations you leave unchecked are *unlinked* from the company rather than deleted. #. To confirm, you must type the company name exactly as shown. The **Delete** button stays disabled until the name matches. This action cannot be undone. Deletions are recorded in the Audit Log. ------ .. _cloud-up-custom-company-fields: ########################### Customizable Company Fields ########################### Administrators can add custom fields that appear on company records (requires **Admin**). Go to **Admin** > **General** > **Customization** and click **Customize Company Fields**. .. TODO: screenshot On the **Company Fields** form you can define up to 10 custom field labels. Each label may be up to 100 characters. Click **Save** to apply your changes; the portal returns you to the **Customization** tab. Click **Cancel** to discard them.
